Build a Team Directory for Self-Service Org Updates


A Team Directory on your site is very useful for communicating the structure and function of large teams, groups, departments, or business units. A simple custom list for a quick, self-service Team Directory complements the enterprise Employee Directory by providing fields for functional team names and descriptions that can be maintained directly by business managers. A self-service Team Directory can be particularly useful for large business units with fine-grained internal org structures below the reporting unit level, or where a team would like to reflect org changes more quickly than through the centralized Org Browser.
Business admins can create a custom list for your Team Directory with just a few columns, and display different filtered/sorted views of the Team Directory on various pages in your site. This simple separation of presentation and content helps you keep site maintenance to a minimum by adding or editing content in just one place, while it refreshes in multiple places across the site.
The Preview style provides a nice dynamic experience that displays each listing when the user mouses over a list item. This is a nice compact way to manage a long list in a compact web part view.

Org changes are easy to update, even if backend systems may not yet reflect the change. For example, if a team has a new manager, just change the Manager name in the Team Directory, and the new manager's contact info will be available across the site wherever that team is displayed. For an internal reorg of teams under senior management, change the ReportsTo field, and the changes will display automatically.
For large departments with distinct functional divisions, you can create filtered views for each division's home page that shows each divisional team and all teams that report to it.
Any site administrator can create and maintain your own team directory with a few simple fields:
  • The Team Name and Manager fields allow your site to present alphabetical views of a Manager Directory and Team Directory from a common source.
  • The Manager field is a clickable link to the Employee Directory. It includes a People Picker to prevent misspelling and to ensure that the contact is a current employee.
  • The Responsibilities field communicates functional activities and responsibilities of a team, independent of its individual manager.
  • Optional ReportsTo and Org Level fields complement a visual org chart to present multiple views of your org.
A Team Directory is a great introduction to custom lists. It's a quick-hit solution that teaches a new site administrator how to do four key self-service tasks:
  • Create the list
